Internet based eBDN
How to access the Internet based eBDN website.
The following is a step-by-step instruction on how to connect to the Internet based eBDN website.
- Launch your browser (Internet Explorer or Netscape Navigator)
- If you are making use of a dial up connection, please connect to the Internet through your service provider. Should you have a direct connection to the Internet please ignore this step.
- Enter the following URL in the address field: www.postoffice.co.za and click on "Go" or press enter.
- The South African Post Office website will now be displayed in the body of the screen.
- On the left hand side search for the eProducts and Services link. Now click on the electronic Bulk Mail Delivery Note. You will be welcomed on the home page of the eBDN website.
- Click on the "Sign in" link.
- A list with all the digital certificate on the personal computer will be called up. Select the digital certificate that belongs to you and click on "OK"
Note: You may get a pop up message/s informing you that you are now connecting to a secure website. Select "OK"
- If you are logging on for the first time the system will prompt you to change your password. Enter your new password and confirm your entry. Please note that you will not be prompted to change your password upon subsequent visits.
- Next you will be asked to accept our service agreement. The acceptance of the agreement is valid for one year (after initial installation) thereafter you would have to apply for a new digital certificate, change your password and accept the service agreement once more.
Note: Although you will only be asked to accept the user agreement once every year you do, by default agree to the terms and conditions as described in the Service Agreement upon subsequent log ins with your digital certificate.
- The system will now prompt you to enter your password and click on "Logon"
Note: the expiration date of your digital certificate is also indicated on this screen along with the expiration time and the amount of days the digital certificate is still valid for.
- The next page will prompt you to either lodge a non-conformance or to lodge and eBDN. Click on "Lodge eBDN".
- You are now rooted to the secure internet transaction server and a BDN capture screen will appear.
- Complete the eBDN. Please refer to the section 'HOW TO COMPLETE THE eBDN" and select the "Calculate" button. Your BDN will now be priced and validated by the system.
Note: all error messages (incorrect product codes, exceeding our credit limit etc) will be displayed in the bottom left hand corner. Should an error message be displayed correct the eBDN and click on the "Calculate" button again? Should no error message be displayed click on the "Post" button?
Should you receive an error message that is not clear to you please write down the exact message and call our Information Technology Support Desk on 0800 123 711.
- The system will now generate an eBDN confirmation page displaying all the captured information.
- Your sales order number/reference number will also appear on this page (top left hand corner).
- You would need to print of at least two copies of the eBDN confirmation page (one to accompany the mail and one for your records).
Note: you can print off as many copies as you would want by selecting "File", "Print", indicate the number of copies you want to print and select "OK".
- Should you forget to print of the two copies you will be prompted by the system to print at least two copies before exiting out of the transaction.
- You can now also choose to either continue and capture another eBDN or to exit out of the transaction.
- You will be required to sign the eBDN confirmation page. The driver of the delivery vehicle is also required to sign the eBDN confirmation page. However, upon arriving at the platform the eBDN will also be signed and stamped by the Revenue Protection officer.
- Should, for some reason or another, the eBDN not print it is advisable to contact your Debtors section at one of the following numbers. They will print a copy and fax it to you.

Reprinting orders
You are now also offered the functionality to re-print your orders. Go to www.postoffice.co.za/ebdn, sign in and select the "View and reprint sales order confirmation" link. You will be asked to provide your account number and order number and to click on the "Continue" button
Lodging a non-conformance (eBDN Internet based option)
Should a non-conformance be noticed by the Revenue Protection division you will be notified of the non-conformance via email. To respond to the non-conformance notice please log on to the eBDN website as per the above instructions.
When reaching the "Select from the options below to continue" screen, select the Non-conformance or Lodge eBDN screen select the Non-conformance link. Complete the form provided on this page, select - via the drop down option - the Mail Centre Name you wish to send the non-conformance form to and select the "Submit" button.
Lodging a non-conformance (Fax and eMail option)
Should a non-conformance be noticed by the Revenue Protection division you will be notified of the non-conformance. To respond to the non-conformance notice please visit the eBDN at www.postoffice.co.za/ebdn, click on the "Forms" link and select the "Non-conformance Template" link. Please print both forms (the non-conformance form as well as the fax cove sheet), complete the forms and fax or eMail it to you hub.
eBDN Service Agreement
The eBDN User Agreement is an agreement between you (our customer) and the Post Office. When logging on to the eBDN website with a digital certificate for the first time you will be asked to accept our service agreement.
