The South African Post Office developed this secure online system to support the electronic lodgement of bulk postings on account and pre-paid lodgements (franking machine mail, pre-paid envelopes and stamps) and it is an enhancement of the paper based bulk mail delivery note book.
We also offer our bulk mail customers a facility to view eBDN's, invoices and statements as well as a payment facility (of consignment invoices). This functionality will be available towards the first quarter of 2005. You can rest assured that your transaction is secure and that we are protecting your privacy. Through digital certificate exchange, a secure on line connection is established between the Post Office and you, our valued customer, to ensure the privacy and security of your consignments. So, get connected now and make use of this user-friendly system. As from 1 April 2005 all bulk mail lodgements on account as well as pre-paid lodgements would have to be lodged on an electronic bulk mail delivery note (eBDN), be it on line (via the Internet based eBDN system), by faxing or by e-mailing the eBDN upfront for capturing by the mail centre personnel. Extend of the service The eBDN system is only applicable to customers lodging bulk mail or account as well as for franking machine mail, pre-paid envelopes and stamps. Cash lodgement is not supported via the eBDN systems Lodgement options 3 Electronic lodgement options are provided by the Post Office for bulk mailers to lodge their mail as from 1 April 2005.
Email and Fax Customers will be provided with a pre-formated BDN template to lodge their bulk mail. The customer will be required to complete the BDN as per normal and fax/e-mail it to the mail centre he/she is lodging at. The Post Office capturing clerk will then capture the information and create a sales order. In the case of pre-paid lodgements the customer will be provided with a reference number . This order number/reference number will be communicated back to the customer. No bulk mail lodgements will be accepted without an order number/reference number at any of the 25 hubs accepting bulk mail. Internet based eBDN Customers are required lodge their bulk mail by connecting to the eBDN website, capture the necessary information and post the transaction. The system will provide you with a sales order number. In the case of pre-paid lodgements the customer will be provided with a reference number. No bulk mail lodgements will be accepted without an order number/reference number at any of the 25 hubs accepting bulk mail. Internet based eBDN All customers who whish to claim sorting rebates would have to convert to the Internet based eBDN system and will not be allowed to migrate between options.All customers who qualify for incentives will have to make use of the Internet based eBDN system. Incentive customers Incentive customers are customers who spend R250 000.00 or more with the Post Office annually and who have a contractual agreement with the Post Office. These customers typically qualify for a 2 or 3 percent up front discount. |
