How to achieve high acceptance rates

Criteria
The following criteria apply to optical character reader (OCR) mail (Small (DL) maxi standard articles:
  • Maximum thickness 5 mm
  • Maximum mass 50 g
  • Maximum size 120 mm x 235 mm
  • Minimum size 90 mm x 140 mm
Items must -
  • be 97 per cent OCR readable;
  • have a postage-paid or franking machine impression;
  • be faced; and
  • be handed in in trays.

What do you need to do?
There may be little or no adjustment to what you are currently doing as we have ensured that the optical character reader computer software will recognise most of the current address formats.

If your mail is OCR readable, it can be machine sorted with great accuracy by modern mail-processing technology. You will also be helping us to give you an even more reliable service.

However, it is not yet technically possible to read all address format variations, so you may need to make adjustments if you want your mail to be machine readable.


Key determinants
There are key determinants to achieving a high optical character reader acceptance level:
  • Envelope size and mass
  • Envelope thickness
  • Envelope design
  • Address structure
  • Clarity of address
  • Correct postcodes
  • Adequate window size
  • Address position

This document sets out the parameters for each of the determinants above, using examples to identify those items that either improve or impair the acceptance rate.
