A step-by-step guide to making the most of Permit Mail
To use Permit Mail, you simply preprint a permit impression in the top right-hand corner of each postal item in the place of a stamp or franking machine impression. The Permit impression indicates that you are using Permit Mail as a method of payment.
Applying for a Permit Mail authorisation number
- Use the application form attached or contact your local regional sales manager.
- Complete and return the application form to your regional sales manager.
- You must send 100 and more letters at a time for unsorted and 1000 and more pre-sorted articles per consignment accompanied by a grading certificate (97-100% and eBDN)
- If you are an account customers your mail must be posted on Electronic Bulk Delivery Notes (eBDN)
- If you are a cash customer lodging bulk mail at designated post offices, eBDN will not be necessary as Postlink will issue two receipts one for your record, the other one will accompany the mail to the processing Mail Centre.
- Your regional sales manager will notify you of your Permit Mail authorisation number that will be the same as your account number. Cash clients will have a unique number identified by the region.
- Creating your Permit Mail impression You can choose from either a standard or customised impression (which could contain your organisation's logo and name), both of which must be not smaller than 25 mm in height and 45 mm in width and not larger than 45 mm in height and 74 mm in width. It must include the words South Africa, the Post Office identifier, the wording Permit Mail South Africa and your permit number.
- When applying for a Permit Mail authorisation number, it is important to have your impression checked by your regional sales manager. This ensures that your impression will meet the specifications so that your mail can be efficiently processed§ Your Permit Mail impression must be printed in the top right-hand corner of all your Permit Mail postal items.
- We recommend that you have your envelope design approved before printing by faxing it to your regional sales manager.
How to use Permit Mail
- You can use Permit Mail to post items to destinations in South Africa or abroad.
- Your impression can be used for both envelopes and parcels.
- Make sure your Permit number corresponds with your client number.
- Bundle your Permit Mail with addresses facing outwards and the Permit impression in the top right-hand corner.
- Pay for your consignment by cash, cheque or on account when you hand it in.
- When your mail is handed in as an account customer, remember to include the eBDN with the Permit number written on.
- You could qualify for bulk mail discount if you hand in 1 000 items or more at a time. Call your regional sales manager for more details.
Other important points about Permit Mail
- Do not post Permit Mail consignments in street posting boxes, "As penalties may be incurred".
- Permit Mail items are not post-marked, date-stamped or cancelled.
- You keep the same Permit number until it is cancelled, either by you or the South African Post Office.
- The South African Post Office reserves the right to cancel any Permit Mail number at any time.
- Do not use your Permit Mail envelopes as reply envelopes for your clients to post back to you. Enquire about Business Reply Services if you want to get your clients to respond to your mailing.
- Your South African Post Office Permit impression can only be used to pay for items sent through the South African Post Office network.
